Account Information

When you register for an account, we collect your name, email address, organization name, role, and timezone. We use OAuth authentication through Google or Microsoft, which provides us with basic profile information.

Calendar and Meeting Data

With your consent, we access your calendar events to identify upcoming sales meetings. This includes meeting titles, participant information, video conference links, and scheduled times. We use this data to prepare pre-call briefs and organize your workflow.

Meeting Recordings and Transcripts

We process meeting recordings from connected platforms (such as Zoom) or manually uploaded files. These recordings are transcribed to generate meeting summaries, action items, and follow-up content. Audio data is processed securely and retained only as necessary to provide the Service.

CRM Data

If you connect a CRM (Salesforce or HubSpot), we access contact records, deal information, and activity logs to provide contextual insights. CRM synchronization occurs only with your explicit approval before each push.

Email Data

With your consent, we access Gmail to send follow-up emails on your behalf. We do not read or store the contents of your inbox beyond what is necessary to send authorized communications.

Usage Data

We collect information about how you interact with the Service, including features used, meetings processed, and general usage patterns. This helps us improve the product and provide better support.

How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Generate meeting briefs, summaries, and follow-up content

  • Integrations: When you connect third-party services (CRM, calendar, email), data flows between Vendus AI and those services as you authorize.
  • Legal Requirements: We may disclose information if required by law, regulation, or legal process.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

Data Security

We implement industry-standard security measures to protect your information, including:

  • Encrypted storage of OAuth tokens and sensitive credentials

Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. You may request deletion of your data, including meeting recordings, transcripts, and summaries, at any time. Upon account termination, we will delete or anonymize your data within 30 days, unless retention is required for legal compliance.
